The Exhibitor Prospectus is mailed to our previous year Exhibitors on or about July 15th. Once received, the exhibiting company has 60 days to renew their current location or submit a request for relocation or enlargement. New Exhibitors will receive the information on or about September 15th. During this period booth space is allotted on a first come first served basis. Reservations will continue based on availability until the show is sold-out. At that point in time, any company unable to secure exhibit space will be placed on the prospect list for upcoming shows.
Q: What is the difference between “VIP” & “Exhibitor” badges, and are they available after the deadline?
Exhibitor badges are for working booth personnel only. These individuals are allowed access to the facility prior to and after show hours for an extended amount of time. However, the exhibitor badge does not allow reentry once the facility has been locked for the night. Exhibitor badges are not pre-mailed, but are available for pick-up the Tuesday prior to the show at 12 PM at the South Wing Registration Area.
“VIP’s” are considered special guests of our exhibiting companies. Their badges can only be acquired by registered exhibitors. These individuals are allowed access to the facility during all show hours, including the VIP session from 10:00 am – 1:00 pm on Thursday. VIP badges are mailed directly to the exhibiting company at the end of february. This allows for additional promotional materials to be mailed to each VIP by the exhibiting company.
Both “Exhibitor” & “VIP” badges are obtainable after their deadlines. These badge requests must be made on-site at the South Wing Registration Area, beginning the Tuesday prior to the show at 12 PM, at a cost of $5.00 per registrant.
Exhibitors should refer to the color coded move-in schedule in the Exhibitor Service Kit for their designated move-in time. Those companies exhibiting in smaller booths (10x10, 10x20 etc.) are allowed to set-up on Wednesday if necessary. We request that those companies exhibiting equipment adhere to the pre-determined move-in schedule. This allows efficient move-in of large vehicles and trailers.
Booth dismantling should not begin prior to 4:00 pm on Saturday. Any company found vacating the facility early may lose exhibiting privileges in future shows.
A limited number of parking passes are provided to Exhibit Management by the KEC for distribution. These passes are allocated to exhibiting companies based on exhibit size and are not available for purchase. Passes are available for pick-up beginning the Tuesday prior to the show at 12 PM at the South Wing Registration Area. Each Exhibitor will have to specifically ask for the parking passes for their company in order to receive the passes.
Q: How far is the convention center from the airport, and is shuttle service available from my hotel?
The KEC is located approximately 1 mile from the airport. Transportation to and from the convention center is readily available.
Hotel shuttle service is determined by each individual hotel property. Please contact the hotel directly for more information.
The above services are available in the Exhibitor Lounge located in the East Hall. Access to the Exhibitor Lounge is limited to badged exhibitors only.

Small trailers can be stored in and around the horse barns located north of Lot D. Full size tractors and trailers can be stored in the Prestonia lot located across Phillips Lane, east of the Executive Inn Hotel.
