Attendance Policy
This attendance policy is applicable to all Mid-America Trucking Show (MATS) attendees, exhibitors, media, and guests, hereinafter individually and collectively referred to as “Attendees”. Show Management shall have sole discretion over admission at all times and shall strictly enforce all show rules. Attendees agree to abide by this attendance policy, as well as all other rules applicable to their badge type, which may be updated at any time. Violators risk immediate confiscation of their show badge without refund and removal from the premises. Violators will not be allowed re-entry.
Who Can Attend?
MATS is a trucking industry tradeshow and is not open to the general public. In order to attend, you must work in the trucking industry or be accompanied by someone who does.
Admission
Registration for admission is required to attend MATS.
Show Badges
Every registrant will receive an official show badge and will be asked for a photo ID to pick up the badge. Badges must be worn and prominently displayed to gain entry to MATS. The show badge constitutes a limited revocable license to attend the current MATS. Badges are the property of Show Management and may be revoked at any time for any reason without compensation. Badges CANNOT be reproduced, transferred, or resold.
Cancellations, Substitutions & Refunds
All event registration sales are final. No refunds will be offered, regardless of the reason for non-attendance. Substitutions are not allowed. Discounts must be applied at the time of registration and cannot be applied once the registration fee has been paid. Lost, stolen or misplaced badges will be charged the full amount originally paid for replacement.
Communication
Attendee consents to receive all mail, email, fax, text, or phone communications from Show Management regarding important show information, updates, and crisis communication for MATS.
Code of Conduct
MATS is committed to providing a safe, welcoming, and harassment-free environment for all participants. To achieve this, we expect that all participants will conduct themselves appropriately, including, but not limited to, interact with respect and consideration, creating a safe environment for all, and avoid demeaning, discriminatory, or harassing behavior, materials, and speech. Unacceptable behavior, including but not limited to discrimination, intimidation, harassment (verbal, physical, or visual), and offensive conduct related to gender, race, religion, or sexual orientation, will not be tolerated. Show Management reserves the right to immediately revoke the badge of anyone violating this Code of Conduct without refund and disqualify the Attendee from attending future events.
Security & Weapons Policy
For the safety of all attendees, MATS and the Kentucky Expo Center strictly prohibit fireworks, firearms, explosives, and weapons of any kind, including concealed firearms, on the premises. This prohibition applies to interior and exterior facilities, including parking areas and also prohibits weapons in or on any vehicles or displays. Show Management and venue security reserve the right to search all bags, backpacks, and personal items upon entry.
Animal Policy
Pets are not permitted on the show floor or within the Kentucky Expo Center. Only ADA-compliant, trained service animals assisting an individual with a disability are allowed.
No Soliciting, “Suitcasing”, or “Outboarding”
Soliciting, Suitcasing and Outboarding rules and regulations pertain to the MATS show floor and public areas, the Kentucky Exposition Center facilities and grounds, and official show hotels.
Soliciting: MATS attendees are prohibited from soliciting business from other attendees or exhibitors in any of the facilities used as part of MATS, except when such solicitation is made by a MATS Exhibitor within the Exhibitor’s exhibit or event space, as previously authorized by Show Management.
Suitcasing: MATS strictly prohibits “suitcasing”. All marketing, promotion, and sales must be conducted and remain within the contracted exhibit space. Marketing materials may not be placed or distributed outside of contracted exhibit space neither inside nor outside the exhibit halls. Show Management reserves the right to remove individuals that are not in compliance and discard display materials without compensation.
Outboarding: Show Management restricts Exhibitors from hosting or participating in competing or conflicting events or activities that occur during official MATS show hours; this is considered “outboarding”.
Recording (Audio, Video, and Still Photography)
Copyright of the MATS is owned by Show Management. Show Management reserves the rights to all recordings or reproductions of presentations at, or in conjunction with, MATS. Any photography, filming, taping, recording, or reproduction in any medium without the express written consent of Show Management is strictly forbidden. Exceptions:
- Photography, audio, and video recording using hand-held equipment, for strictly personal and noncommercial use, are permitted if not disruptive, as determined by Show Management.
- Photography, audio, and video recording, by an Exhibitor or by an Exhibitor’s appointed third party, are permitted if not disruptive, as determined by Show Management, and if conducted within the Exhibitor’s exhibit or event space, as previously authorized by Show Management.
Scanning Badges
The registration information you provide during the attendee registration process is encoded onto your show badge. At your own discretion, you may choose to share your registration information by allowing an exhibitor to scan your badge. Once an exhibitor scans your badge, you have opted-in to receive communications from this exhibitor. If you do not wish to share your contact information, you must decline to have your badge scanned by the exhibitor.
Photo & Video Release
By attending MATS or entering any facility in which MATS is taking place, Attendees grant MATS Show Management or authorized third parties permission to utilize their image, likeness, actions, and statements in any live or recorded audio, video, photographic display, or any other forms of media now known or later developed, without further authorization, compensation, or notification.
Attendees will not take photos and/or videos within an exhibit without the exhibitor’s permission.
Waiver of Liability
The Attendee waives and releases any and all rights and claims for any injuries, losses, damages and liabilities of any kind, including, but not limited to, bodily injury and death and property damage, directly or indirectly arising out of or relating to the Attendee’s participation in and attendance at MATS, against Show Management and its officers, directors, employees, agents, contractors, licensees, patrons, guests, assigns, parents, subsidiaries, successors, heirs, personal representatives, executors, and administrators (hereinafter referred to as “Releasees”).
Indemnification
The Attendee agrees to indemnify, defend, and hold the Releasees harmless from and against any claims, suits, actions, injuries, losses, damages, liabilities, costs, expenses (including attorney’s fees), judgments, and penalties arising out of or relating to the Attendee’s participation in and attendance at MATS.
